Millennia Winter News 2022/2023

We have an important notice and helpful information in this winters Millennia Group update.  Here’s what you will find below:

We will continue to work hard to improve our delivery of services and development of FileStar to benefit our customers and users.  That is and always has been our goal.  Please read on.

Important FileStar Notice

FileStar Version 4.5 Sunset Notice:

FileStar Version 4.5 will be retired on September 30, 2023 and all systems will be required to be updated to Version 4.6.  As we have previously communicated, Version 4.6 has an all new user interface and a new, faster and more powerful search (see images below).  The feedback from users that have already converted to the new version is very positive and its common to hear that no user training is even necessary.  But we still want to give users some tips and tricks.

We are in the process of scheduling previews of the new version with all clients.  If we haven’t scheduled your preview yet, you will be hearing from us over the next few weeks.  You will see that the new version is a more modern take on our intuitive interface and the new search is in fact amazingly fast.  We look forward to working with you to get your system upgraded to the new version as soon as possible.

Service and Feature Highlights

Integrations with FileStar

Because you have invested in creating an organized and validated archive of critical documents, you can now think about how to extend the benefit of that information.  As such, it makes sense to link other applications to the validated documents that reside in FileStar rather then have documents in multiple silos.  That is why we are happy to work with you to make the FileStar archive available to other applications via our API or other approaches.  Here are some of the ways in which FileStar can be integrated with other applications:

Direct API – FileStar has direct, API based integrations with many applications including:

  • DocuSign (Pull from DocuSign into FileStar or with FileStar workflow)
  • MRI\Leverton (collect in FileStar push into abstraction process) and
  • UKG (Ultipro HR Software)

Data Exchange – We also have data exchange integrations with several applications where scheduled data file exports and imports are shared via secure FTP including:

  • MRI (accounting and ERP)
  • Yardi (accounting and ERP)
  • Quickbooks and
  • JobCost construction accounting software.

URL Link – Lastly, we have created secure links from third party web based solutions to view documents that are stored in the FileStar archive.  These include:

  • Salesforce (CRM)
  • MRI
  • SharePoint and
  • NutShell (CRM)

Collect and validate your documents in the FileStar Critical Document Archive and then provide access to those documents via other applications.  We are ready when you are. 

Network File Folder Cleanup and Re-organization 

Over the years did accounting documents get stored in different folder structures on your network?  Does the legal team have drafts co-mingled with executed versions of contracts?  Are transaction documents partially in cloud repositories and partly on the network?  Do any of these documents have adequate security on them or appropriate access logging?  Its time to get your arms around these other documents and get them into FileStar.

We are pretty sure most of our clients have critical documents that aren’t in FileStar but the thought of gathering, organizing and cleaning up those files is overwhelming.  With our custom built file gathering and organizing tools and services we can help make that process not only easier but also pay big dividends.  Wow, wouldn’t that be amazing! 

The FileStar Agent can be deployed to gather files from your network folders or we can access files in web hosted document repositories.  Either way the FileStar Agent allows us to gather and track files as they are created on the network and then map them into FileStar for re-organization and validation.  We can also de-duplicate files so you have only what you need.  Then you can delete all those disorganized and redundant files and access exactly the information you need in FileStar.
